Cover the Risk Before the Party Starts: A Real Look at Event Insurance

If you’re planning an event—whether it’s a wedding, fundraiser, vendor fair, or corporate party—you’re probably juggling the venue, coordinating vendors, managing guest lists, and handling logistics. But one crucial piece that often gets overlooked is insurance.

And let me tell you, when things go sideways (because sometimes they do), event insurance in Washington State can save you from a financial and legal mess.

Let’s break down what event insurance in Washington State covers, who needs it, and what to think about before the big day.

Why Event Insurance Matters

At its core, event insurance in Washington State protects your financial investment in the event. Depending on the type of coverage, it can step in if:
– A guest trips and gets hurt
– Property is damaged at the venue
– Someone causes an accident while leaving your event
– A vendor doesn’t show up or damages rented gear
– Your event gets canceled due to weather or another covered reason

The reality is, if you’re hosting or working an event, you’re assuming liability. And in today’s world, that can get expensive.

Host vs. Vendor: What Coverage You Need

  • If You’re the Host (Planner, Couple, Organizer, etc.):

You’ll want to secure a general liability policy. This protects you from claims related to injuries or property damage during your event. If alcohol is being served, you’ll also need host liquor liability.

A key point: if you’re not selling the alcohol yourself, but providing it (say, wine at a wedding), that’s host liquor liability. But if your vendors are selling or serving alcohol, they each need their own liquor liability policies. Don’t assume yours covers them.

Also, many venue in Kitsap County or elsewhere in Washingtons will ask for:
– Waiver of subrogation
– Additional insured endorsement
– Proof of coverage (COI) with specific limits

  • If You’re a Vendor (Caterer, DJ, Bartender, Photographer, etc.):

You need your own general liability insurance — especially if you’re working multiple events. If you’re serving alcohol, you’ll need liquor liability. And if you’re transporting or setting up gear, consider inland marine coverage (that’s equipment insurance).

What Impacts the Cost of Event Insurance?

Pricing varies depending on:
– Number of attendees
– Whether alcohol is served

– Type of event (wedding vs. concert)
– Duration of the event (and if setup/teardown days are included)

What About Event Cancellation Coverage?

Optional, but valuable—especially for large events with non-refundable deposits. If weather, illness, or another covered reason forces you to cancel, this coverage can help reimburse lost deposits or vendor fees.

Vendor Tip: Don’t Rely on the Host’s Policy

If you’re a vendor, don’t assume the host’s insurance will protect you. Most of the time, it won’t. You’ll be expected to provide your own proof of insurance, and sometimes a waiver of subrogation or additional insured endorsement for the host.

Not having it? That could cost you the job—or worse, your business if something goes wrong.
